How to Create a PKM System: Start With the Capture Layer (2026 Framework)

Most PKM advice starts with note taxonomy. That is backwards if your inputs are the open web.

Step 1 — One capture inbox

Everything lands in Inbox first: articles, filings, competitor pages, screenshots of dashboards.

Step 2 — Process weekly

Ask three questions:

1. Will I need to prove this later?
2. Does search need to find a phrase inside the page?
3. Is this duplicated?

Step 3 — Link notes to captures

Your note should contain thinking; your archive should contain proof.

Step 4 — Measure friction

If capture takes more than a few seconds, you will stop. Pick tooling that makes habit inevitable.
